Quantum Bastion Limited is responsible for the personal information described in this notice. For privacy enquiries or requests, contact enquiries@quantum-bastion.com.
This notice covers our website and initial enquiries. Where an engagement involves additional personal information, we will provide relevant privacy information for that work.
Information we use
When you contact us, we may receive your name, contact details, organisation, correspondence and information you choose to provide about your requirements.
Please provide only information necessary for your initial enquiry. Contact us before sending identification documents, detailed security arrangements or other sensitive material.
Our website hosting service also processes technical information generated by visits, such as log, usage and device information, to deliver, maintain and support the website.
Why we use information
We use enquiry information to respond, understand requirements and discuss our services.
Where necessary to take steps at your request towards a contract with you, we rely on that contractual basis. For general enquiries and communications with representatives of organisations, we rely on our legitimate interest in managing and responding to business enquiries. We also have a legitimate interest in keeping the website available and secure.
Optional website analytics relies on your consent.
Optional analytics and cookies
Google Analytics loads only after you accept analytics. Rejecting it does not prevent you from using the website or contacting us.
Analytics helps us understand pages viewed, approximate location, device and browser information, referral sources and contact-link clicks. A click does not confirm that a message was sent or a call completed.
We do not intentionally send enquiry contents or visitors’ supplied contact details as analytics event parameters. Our configuration removes query strings and fragments from page and referring addresses supplied to Analytics. Advertising storage, advertising personalisation and Google signals are disabled in our website configuration.
The website stores your analytics preference in your browser and treats it as valid for up to 180 days. If you accept, Analytics can set first-party cookies such as _ga and _ga_*. These cookies are configured with a maximum lifetime of 180 days.
You can change your choice through Analytics preferences in the footer or the button below. Withdrawing consent disables tracking and removes accessible Google Analytics cookies. If Analytics has already loaded, the page reloads to apply your choice.
How long information is kept
Routine enquiries that do not become an engagement are deleted when no longer needed, normally within 12 months of the last meaningful contact. We review these records monthly.
Sensitive attachments are reviewed separately and deleted sooner when their purpose ends. Where specific information must be retained longer, for example for an ongoing complaint or legal requirement, we document the reason.
Client, contractual and accounting records follow separate retention rules based on the engagement and applicable obligations.
Google Analytics currently has event-data retention set to two months and user-data retention set to 14 months. New activity resets the user-data retention period. These controls do not determine how long most standard aggregated reports remain available.
Technical hosting information is processed for the duration needed to provide and support the hosting service and meet related obligations, including deletion, as described in the hosting terms linked below.
Service providers and external links
We use OpenAI’s ChatGPT Sites platform for website hosting, IONOS for business email, and Google for optional analytics. Communications services also process the information needed to deliver email, calls and messages.
OpenAI’s published Sites data-processing terms cover hosting, maintenance and support, including technical log, usage and device information. See OpenAI’s ChatGPT Sites data-processing terms and OpenAI’s Privacy Policy.
For email-provider information, see IONOS’s privacy information and IONOS’s data-processing agreement. For analytics, see Google’s Privacy Policy, how Google uses information from partner sites and Google’s data-processing terms.
Email and telephone links open your chosen email or calling application. WhatsApp links open WhatsApp or WhatsApp Web, where you can choose whether to send a message. Our WhatsApp and LinkedIn links lead to external services with their own privacy arrangements: WhatsApp Privacy Policy and LinkedIn Privacy Policy. Information you choose to send in an enquiry is separate from website analytics.
Processing outside the UK
Our hosting, analytics and communications providers may process information outside the UK, including in the United States.
OpenAI’s published Sites terms provide for UK transfers using Standard Contractual Clauses with the UK Addendum. Google’s published terms describe recognised transfer mechanisms, including contractual safeguards or an applicable adequacy framework. Details and copies of those safeguards are available through the provider terms above; you can also contact enquiries@quantum-bastion.com for information about transfers relevant to your enquiry.
Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your personal information.
You may object to processing based on legitimate interests. You can also withdraw analytics consent at any time without affecting the lawfulness of earlier processing.
Contact enquiries@quantum-bastion.com to exercise your rights or raise a concern. You may also complain to the Information Commissioner’s Office (ICO).
